These Terms of Service ("Terms") govern your use of the Chill IT Solutions website and any services provided by Chill IT Solutions ("we," "us," or "our"). Please read them carefully. By accessing our website or engaging our services, you agree to be bound by these Terms.

1. Services Provided

Chill IT Solutions provides IT-related services to businesses and individuals, including but not limited to:

  • Structured cabling and cable runs
  • Small business network design, installation, and configuration
  • IT support and help desk services
  • Security camera and access control installation
  • General technology consulting

Specific services, scope of work, timelines, and pricing will be agreed upon in writing (via a quote, proposal, or service agreement) prior to work beginning.

2. Quotes & Estimates

All quotes and estimates provided by Chill IT Solutions are based on information available at the time of assessment. Quotes are valid for 30 days from the date issued unless otherwise stated. Final pricing may be adjusted if the scope of work changes materially from what was originally assessed.

We will always communicate any changes to scope or cost before proceeding with additional work.

3. Payment Terms

Unless otherwise agreed in writing:

  • Payment is due upon completion of services for one-time jobs.
  • For larger projects, we may require a deposit before work begins, with the remainder due upon completion.
  • Invoices not paid within 30 days of the due date may be subject to a late fee of 1.5% per month.
  • We accept payment via check, ACH transfer, or credit card. Accepted methods will be listed on your invoice.

4. Client Responsibilities

To allow us to provide services effectively, you agree to:

  • Provide accurate information about your environment, equipment, and needs
  • Ensure we have safe and reasonable access to your premises and equipment during scheduled work
  • Back up any critical data before we perform work on your systems (we recommend this as best practice and are not liable for data loss)
  • Designate a point of contact who can make decisions about the work being performed

5. Scheduling & Cancellations

We ask for at least 24 hours notice if you need to cancel or reschedule a scheduled appointment. Late cancellations (less than 24 hours notice) or no-shows may result in a cancellation fee equal to one hour of labor at our standard rate.

We reserve the right to reschedule appointments due to emergencies, illness, or circumstances beyond our control. We will notify you as early as possible if this occurs.

6. Warranty & Workmanship

We stand behind our work. We offer a 30-day workmanship warranty on labor performed by Chill IT Solutions. If an issue arises that is directly caused by our installation or configuration within 30 days of service completion, we will return to address it at no additional charge.

This warranty does not cover:

  • Issues caused by third-party modifications after our work is completed
  • Hardware failures unrelated to our installation
  • Issues caused by the client's misuse or changes to the system
  • Pre-existing conditions not identified at the time of service

Hardware and equipment carry the manufacturer's warranty, not ours. We will assist you in pursuing warranty claims where possible.

7. Limitation of Liability

Chill IT Solutions will perform all work with reasonable care and professionalism. However, to the maximum extent permitted by law, our total liability for any claim arising from our services shall not exceed the amount you paid us for the specific service giving rise to the claim.

We are not liable for indirect, incidental, or consequential damages, including lost revenue, lost data, or business interruption, even if we were advised of the possibility of such damages.

8. Data & Confidentiality

In the course of providing IT services, we may have access to your business systems, data, and confidential information. We treat all client information as strictly confidential and will not disclose it to third parties without your consent, except as required by law.

We will not access, copy, or retain any client data beyond what is necessary to perform the agreed-upon services.

9. Intellectual Property

All content on the Chill IT Solutions website — including text, graphics, and design — is owned by Chill IT Solutions and may not be reproduced without written permission. Any custom configurations, scripts, or documentation we create specifically for your business remain your property upon full payment.

10. Use of Website

You agree to use our website for lawful purposes only. You may not use our website to transmit harmful, offensive, or illegal content, or attempt to gain unauthorized access to our systems.

11. Third-Party Services

We may recommend or assist in implementing third-party software or services (e.g., antivirus, cloud platforms, VoIP). We are not responsible for the performance, uptime, pricing changes, or terms of those third-party providers.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Indiana, without regard to its conflict of law provisions. Any disputes arising from these Terms or our services shall be resolved in the courts located in Floyd County, Indiana, or through mutually agreed-upon mediation.

13. Changes to These Terms

We may update these Terms from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of our website or services after changes are posted constitutes your acceptance of the updated Terms.
